Research a relevant regional audience for an executive dinner, roundtable, or roadshow. Coordinate invitations with account owners before using your existing outreach and RSVP tools.
When to use this workflow
Use this guide for a regional executive dinner, industry roundtable, roadshow stop, or account-focused program around a relevant show. Define the discussion topic and invitation criteria before researching people.
Before you start
Review the event preview and available data before paying to unlock it. Event Access and Full Access include different sources; Visitor access requires an active paid subscription and available Visitor coverage. Contact reveal and message generation are separate actions. Review the current access and Credit cost shown in Lensmor before confirming.
Separate account relevance from attendance logistics
Business relevance. Review industry, company description, and company size where available. Keep accounts that can contribute to the program's topic.
Regional relevance. Review company and contact location separately. Neither a company address nor an event connection confirms that a person will be nearby.
Invitee relevance. Research responsibilities, department, and management level. Choose people whose work fits the discussion rather than filling seats with unrelated titles.
Relationship relevance. Ask account owners about active relationships and whether an invitation is appropriate before sending anything.
Step-by-step workflow
Set the region and program. Choose the market, activation date, discussion topic, and accounts your sales team wants to meet. Find relevant nearby or industry events as a starting point for research.
Shortlist companies by local fit. Open Exhibitors and review available location, industry, company size, and business context. Save compatible criteria as a Target Group. Check company location and practical travel relevance separately; a filter is not a travel-radius guarantee.
Find appropriate invitees. Use Attendees filters to identify relevant departments and seniority. Review Source evidence and confirm the person’s current role. Reveal contact details selectively after the account passes the fit check.
Coordinate the invitation. Export the shortlist with account notes. Ask sales to check existing relationships, assign an invitation owner, and confirm why the program is relevant. Send invitations and manage replies, dietary needs, RSVPs, and reminders in your existing tools.
For the detailed controls, see Work with Exhibitors and Attendees and Save and Reuse Target Groups. Follow Reveal and Enrich Contact Data and Export Contacts when activating your shortlist.
What to prepare
Prepare company, regional relevance, topic fit, source evidence, relevant person, relationship owner, and invitation status.
Prepare an invitation-ready brief
Give the invitation owner the account, person, topic-fit reason, source context, proposed program, and questions still to confirm. Use your own event tools to track invitation sent, reply received, RSVP confirmed, and attendance. These are separate states.
Confirm date, venue, travel availability, and any program-specific requirements directly with the invitee. Do not describe a prospect as attending until they have accepted.
Common questions
Can I use Prior Event Attendance to find experienced event participants?
Yes, as a research signal from Lensmor's available history. It is not a guarantee of interest in your dinner or attendance at the current show.
Can Lensmor manage RSVPs and reminders?
This workflow prepares the audience and contact context. Manage invitations, RSVPs, and reminders in your existing outreach and event tools.
Example
For a manufacturing roundtable, research companies connected to a nearby industry show, narrow to regional target accounts, and ask account owners which relationships merit an invitation. This is an illustrative workflow, not a customer result.
Check the evidence and limitations
Exhibitor sources connect companies to events. Signals reflect public event-related activity, not confirmed registration. Visitors are organizer or data-partner records where available. Historical attendance and enriched contacts do not establish future attendance, interest, or purchase intent. Review the attendee source guide before making claims in outreach.
Lensmor does not automatically fill a dinner, establish travel plans, manage venues, or confirm RSVPs. Public event activity is not evidence that someone will attend your program.
