Research prospective exhibitors, sponsors, and professional buyers beyond your existing database. Prepare a different acquisition brief for each audience.

When to use this workflow

Use this guide when researching audiences for a new edition, a new show zone, or an expansion into an adjacent market. Define whether you need exhibitors, sponsors, or professional buyers before building the list.

Before you start

Review the event preview and available data before paying to unlock it. Event Access and Full Access include different sources; Visitor access requires an active paid subscription and available Visitor coverage. Contact reveal and message generation are separate actions. Review the current access and Credit cost shown in Lensmor before confirming.

Use a different qualification brief for each audience

  • Exhibitors. Assess product category, market relevance, and whether the company fits the audience your show serves. Ask about event objectives and participation plans directly.

  • Sponsors. Research organizations with a plausible connection to the event theme. Confirm their commercial objectives and sponsorship decision process rather than assuming budget.

  • Professional buyers. Research organizations and roles with relevant purchasing responsibilities. Confirm the person actually buys or influences the category.

  • Source context. Review available event records and attendee Source. Connection to another show is a starting point for research, not proof of willingness to join yours.

Step-by-step workflow

  1. Map comparable event markets. Find comparable and adjacent shows by industry, region, and dates. Review available exhibitor and sponsor sources to identify companies active in the market your event serves.

  2. Separate the acquisition segments. Open Exhibitors to research suitable organizations. Create separate Target Groups using compatible filters for exhibitor prospects, sponsor prospects, and buyer organizations. Review each segment against your event theme, audience, and commercial criteria.

  3. Find relevant roles. Use Attendees filters for the selected companies. For exhibitors and sponsors, research events, marketing, and partnerships roles; for buyer invitations, focus on purchasing or operational responsibilities. Review Source evidence and selectively reveal contact details.

  4. Prepare audience-specific invitations. Export the shortlist or use a configured destination. Keep source context and the fit rationale with each prospect. Use your existing sales, outreach, registration, and calendar tools to invite, qualify, and follow up. Confirm interest and participation directly.

What to prepare

For exhibitors, explain audience and category fit; for sponsors, explore commercial objectives; for buyers, explain relevant supplier categories and confirm purchasing responsibility. Assign an owner and next step for each.

Prepare three separate acquisition handoffs

Keep an exhibitor-sales brief, a sponsor brief, and a buyer-invitation brief separate. Each should include the prospect, source, fit rationale, relevant role, owner, unanswered qualification questions, and next action.

Track replies, confirmed interest, contracts, and registrations in your existing systems. Do not label a researched contact as a confirmed attendee or sponsor. Check existing relationships and invitation ownership before activation.

Common questions

Can one Target Group cover all three audiences?
Use separate groups when their compatible filter criteria differ. Review the selected group and results each time; saved criteria do not guarantee coverage.

Can Lensmor send invitations or register participants for my event?
This workflow prepares audience research and contact context. Use your own sales, outreach, and registration tools for invitation delivery and confirmation.

Example

An organizer adding a robotics zone can research robotics suppliers, relevant technology sponsors, and manufacturing purchasing teams as three separate segments. These are research targets, not confirmed participants. This is an illustrative workflow, not a customer result.

Check the evidence and limitations

Exhibitor sources connect companies to events. Signals reflect public event-related activity, not confirmed registration. Visitors are organizer or data-partner records where available. Historical attendance and enriched contacts do not establish future attendance, interest, or purchase intent. Review the attendee source guide before making claims in outreach.

Lensmor does not manage registration, ticketing, floor plans, sponsorship fulfillment, or automatic invitations. Participation in another show does not establish fit for yours. Agree any event-data collaboration scope and permitted uses separately.
